Quote Statuses and Action Buttons

How a quote's status controls which actions are available at each stage.

Overview

A quote's status controls which actions appear on it, so the right options surface at the right point in the quoting process. Three statuses are possible during the quote stage:

  • Quote: Set when a quote is first submitted.

  • Draft: Set when an existing quote is being edited.

  • Archived: Set when a quote is archived; the prior status is preserved and restored if the quote is unarchived.

πŸ‘₯ Access Permissions

  • Only users with permission to access Sales Orders can view quote statuses and actions. Review user roles before granting access.

πŸ“ Location in the app

  • Global Search > search and select a quote

  • Sales > Sales Orders > select a quote

  • Sales > Customers > select a customer > search and select a quote

πŸ“Note

  • When an accounting integration is connected, newly-created quotes can be sent to the accounting package automatically. Enable this via Settings > Integrations.

Quote status

Selecting Submit as Quote on the quote form submits the quote and sets its status to Quote.

The following actions are available while a quote is in Quote status:

Close

Closes the quote view and returns to the previous page. The quote itself is left unchanged.

Options

The Options button opens a menu of additional actions:

Edit Quote

Opens the quote for editing and changes its status to Draft. See Draft status for the actions available while editing.

Draft Status

A quote enters Draft status as soon as Edit Quote is selected, allowing changes to be made before resubmission. While in Draft, the following actions are available.

The following actions are available while a quote is in Draft status:

Close

Closes the quote with all in-progress changes saved. The changes remain in place when the quote is reopened.

Update Quote

Saves all changes made to the quote and returns it to Quote status.

πŸ“Note

  • When an accounting integration is connected, the updated quote is also synced with the accounting package.

Submit as Order

Converts the quote into a sales order in one step.

πŸ“Notes

  • The status changes to Submitted once the conversion is complete.

  • When an accounting integration is connected, the newly created sales order is also sent to the accounting package.

Archived status

An archived quote keeps the same action buttons it had before archiving, based on the status it was in at the time. For example:

  • A quote archived from Quote status retains the Close, Options, and Edit Quote actions.

  • A quote archived from Draft status retains the Close, Update Quote, and Submit as Order actions.

πŸ“Note

  • When unarchived, a quote returns to the status it was in before being archived.
