Sales Orders: Previewing, Printing, and Emailing a Quote or Proforma Invoice

Easily preview, print, or email Quotes and Proforma Invoices

Overview

Quotes and Proforma Invoices can be previewed, printed, or emailed directly from Factory. Each action serves a different purpose and may trigger updates in the connected accounting package if integration is enabled.

👥 Access Permissions: only available to users with assigned permissions for accessing Sales Orders. Please review user roles prior commencing.

📍Where to find it in the app:

  • Global Search > search and select a Quote > Options

  • Sales > Sales Orders > select a Quote > Options

  • Sales > Customers > select a Customer > search and select a Quote > Options

💡Tip: customised the layout of Quote and Proforma Invoice via Settings Document templates.


Options

  • Preview – Opens a new browser tab with a copy of the Quote or Proforma Invoice for viewing only

  • Print – Opens a printable version in a new tab. This action also updates the connected accounting package (if integrated)

  • Email – Sends the document via email with a hyperlink and attachment. This also updates the connected accounting package (if integrated)


How to Preview a Quote or Proforma Invoice

  1. Ensure the Quote is not in Draft status

  2. Go to Options > Quote or Proforma Invoice

  3. Edit Quote date if needed

  4. Select Options > Preview.


How to Print a Quote or Proforma Invoice

  1. Ensure the Quote is not in Draft status

  2. Go to Options > Quote or Proforma Invoice

  3. Edit Quote date if needed

  4. Select Options > Print.


How to Email a Quote or Proforma Invoice

💡Tip: edit the default email message in Settings > Quotes using the text field to avoid retyping content each time a Quote or Proforma Invoice is sent.

  1. Ensure the Quote is not in Draft status

  2. Go to Options > Quote or Proforma Invoice

  3. Edit Quote date if needed

  4. Choose a Contact from the list, or:

    • Click add contact to include a new contact

    • Click editto modify an existing contact’s name, email, or phone number

  5. Select Options > Email.


How to Email a Quote or Proforma Invoice with Attachments

Files auto-attached from the Collaborate tabs of the selected Customer and added Products are automatically displayed in the Attachments list.

  1. Ensure the Quote is not in Draft status

  2. Go to Options > Quote or Proforma Invoice

  3. Edit Quote date if needed

  4. Select attachments from the list, or click add attachment to upload new files

  5. Select Options > Email.

📝Note: maximum of 10 MB total (email + attachments) can be sent per email.
