Archiving or Cancelling a Quote

Move outdated or rejected quotes out of the active list while keeping them for record-keeping.

Overview

Quotes cannot be deleted from Factory, but they can be removed from the active list in two ways. Archive moves a quote out of view while preserving it for record-keeping. Cancel Quote does the same but signals the quote was formally rejected by the customer. Both actions place the quote into Archived status, where it remains accessible via the Sales Orders filter.

👥 Access Permissions

  • Only users with permission to access Sales Orders can archive or cancel quotes. Review user roles before granting access.

📍Location in the app

  • Global Search > search and select a quote > Options

  • Sales > Sales Orders > select a quote > Options

  • Sales > Customers > select a customer > search and select a quote > Options


Cancel a quote

  1. Ensure the quote is not in Draft status.

  2. Go to Options > Cancel Quote.

  3. In the confirmation pop-up, select Cancel Quote.

📝Note

  • Cancelling a quote moves it to Archived status.


Archive a quote

A single quote can be archived from either the Order details page or directly from the Sales Orders list. Multiple quotes can be archived together from the Sales Orders list using checkboxes.

From the Order details page

  1. Ensure the quote is not in Draft status.

  2. Go to Options > Archive.

  3. A short confirmation pop-up appears. Select Undo if needed; otherwise, the quote moves to Archived.

From the Sales Orders page (single quote)

  1. Right-click the quote row.

  2. Select Archive.

  3. A short confirmation pop-up appears. Select Undo if needed; otherwise, the quote moves to Archived.

From the Sales Orders page (multiple quotes)

  1. Tick the checkboxes next to the quotes to archive.

  2. Select Options > Archive.

  3. A confirmation pop-up appears. Use Undo to cancel if needed; otherwise, the selected quotes move to Archived.


View archived or cancelled quotes

  1. Go to the Sales Orders page.

  2. Select the Filter icon.

  3. In the Where field, select Status.

  4. In the is field, select Archived.

  5. Click Apply.
