Converting a Quote to an Order

Move an approved quote into an order to unlock invoicing, work orders, and delivery dockets.

Overview

Once a quote is approved by the customer, it can be converted into an order. The conversion unlocks the job-management tools that depend on a confirmed order, including invoices, order confirmations, work orders, and delivery dockets.

πŸ‘₯ Access Permissions

  • Only users with permission to create quotes and orders can convert quotes to orders. Review user roles before granting access.

  • Global Search > search and select a quote > Options

  • Sales > Sales Orders > select a quote > Options

  • Sales > Customers > select a customer > search and select a quote > Options


Convert from Quote status

  1. Ensure the quote is not in Draft status.

  2. Go to Options > Convert to Order.

  3. In the confirmation pop-up, select Convert to Order to confirm.


Convert from Draft status

A quote can be converted directly from the Draft view, with no separate confirmation step. Use this path when editing the quote and approval comes through at the same time.

  • Select Submit as Order instead of Update Quote. The quote converts to an order in one step.

  • The order number remains the same as the original quote number.

  • Converted orders are automatically set to Submitted status.

  • When an accounting integration is connected, the conversion also creates a corresponding order (or invoice, depending on the accounting package) in the connected system.
