Understanding Quote statuses and available options

Overview

Quote statuses determine available actions, ensuring clear control and visibility across the quoting process.

πŸ‘₯ Access Permissions: only available to users with assigned permissions for accessing Sales Orders. Please review user roles prior commencing.

πŸ“Where to find it in the app:

  • Global Search > search and select a Quote

  • Sales > Sales Orders > select a Quote

  • Sales > Customers > select a Customer > search and select a Quote


Quote Status

Selecting Submit as Quote sets the Order status to Quote.

πŸ“Note: when integrated with an accounting package, option to Send newly-created Factory quotes to your accounting package can be enabled under Settings > Integrations.


Action available in Quote status

When a Quote is in Quote status, the following actions are available:


Close

Closes the Quote view, returns to the previous page, and leaves the Quote unchanged.


Options

Available actions under Options include:


Edit Quote

Returns the Quote to Draftstatus for editing.


Draft Status

When a Quote is being edited, its status changes to Draft, allowing updates before submission.


Action available in Quote Draft status

When in Draft status, the following actions are displayed:


Close

Closes the Quote, will all changes saved and retained upon return.


Update Quote

Saves all changes made to the Quote.

πŸ“Note: if integrated, the updated Quote is also synced with the connected accounting package.


Submit as Order

Converts the Quote into a Sales Order.

πŸ“Notes:

  • If integrated, the Sales Order is also sent to the accounting package

  • Status changes to Submitted upon successful conversion.


Archived status

Archived Sales Quotes matches the action buttons of the status they are in prior archiving.

πŸ“Note: when unarchived, Sales Orders will return to the status they were in before being archived.
