Sales Orders: Statuses and Action Buttons

Understanding Sales Order statuses and available options when the Sales Order is on a specific status

Overview

Sales Orders statuses determine available actions, ensuring eโ€”ensuring clear process control across each stage of the order journey.

๐Ÿ‘ฅ Access Permissions: only available to users with assigned permissions for accessing Sales Orders. Please review user roles prior commencing.

๐Ÿ“Where to find it in the app:

  • Global Search > search and select a Sales Order

  • Sales > Sales Orders > select a Sales Order

  • Sales > Customers > select a Customer > search and select a Sales Order


Submitted Status

Selecting Submit as Order moves a Sales Order to Submitted status.

๐Ÿ“Note: when integrated with an accounting package, option to Send newly-created Factory sales orders to your accounting package can be enabled under Settings > Integrations.


Action available in Submitted status

When a Sales Order is in Submitted status, the following actions are available:


Close

Closes the Order view, returns to the previous page, and leaves the Sales Order unchanged.


Options

Available actions under Options include:

  • Email/Print Invoice

  • Email/Print Partial Invoice

  • Email/Print Order Confirmation

  • Email/Print Work Order

  • Email/Print Delivery Docket

  • Purchase Products

  • Split Order

  • Change customer

  • Duplicate

  • Convert to Quote

  • Archive


Edit Order

Edit Order returns the Order to Draft status, and temporarily removes it from Delivery Scheduling, Planner (Orders pane), Workflow until resubmitted.


Draft status

Sales Orders are automatically set to Draft when first created or while being edited.


Action available in Draft status

When a Sales Order is in Draft status, the following actions are available:


Close

Closes the Sales Order, with all changes saved and retained upon return.


Update Order

Returns the Sales Order to Submitted status, and resubmits changes to connected accounting package (where integrated and sending sales orders is enabled)


Custom Status

Custom statuses apply to Submitted Sales Orders as they move through defined stages in Workflow.


Action available in Custom status

When a Sales Order is in Custom status, the following actions are available:


Delivered or Picked Up status

Sales Orders marked as Delivered or Picked Up via Delivery Scheduling, the Sales Orders page, or Workflow are automatically updated across all relevant areas in Factory.

๐Ÿ“Note: when marked Delivered or Picked Up, stock levels will adjust automatically if Stocktaking is enabled.


Action available in Delivered or Picked Up status

When a Sales Order is in Delivered or Picked Up status, the following actions are available:


Archived status

Archived Sales Orders matches the action buttons of the status they are in prior archiving.

๐Ÿ“Note: when unarchived, Sales Orders will return to the status they were in before being archived.
