Overview

The Sales Orders provides a centralised view of all current Quotes and Jobs/Orders. It features a powerful, dynamic table designed for easy filtering, sorting and customisation of data.

Key features


Search

Search allows partial searches across a wide range of fields displayed on every Sales Order, including:

  • Order Number

  • Notes

  • PO

  • Pickup Notes

  • Customer Name

  • Contact

  • Order Status

  • Created By

  • Updated By

  • Order Addresses

  • Accounting Number

  • Labels

  • Product Details

  • [Custom columns] created by an Administrator only.


Views

Create and save customised Views to quickly access preferred filters, columns, and sorting whenever the Sales Orders page is opened.

πŸ“Note: saved Views are only visible to the creator, keeping team setups uncluttered.


How to save a new View

  1. Apply the desired filters, columns and sorting

  2. Click the dropdown arrow next to Views

  3. Select Save new view

  4. Enter a name for the view

  5. (Optional) Tick Set as your default view to make it the default when opening Sales Orders

  6. Click Save.


How to edit a saved View

  1. Apply the necessary changes (filters, columns, sorting)

  2. Click the dropdown arrow next to Views

  3. Hover over the View name and click edit

  4. Update the name if needed, then click Update.


How to delete a saved View

  1. Click the dropdown arrow next to Views

  2. Hover over the View name and click edit

  3. Select Delete.

βœ‹ Warning: deleted Views cannot be restored.


Column picker button

The Column Picker allows flexible control over are displayed on the Sales Orders page, helping focus only on the most relevant data. Columns that can be shown or hidden include:

  • Customer Name

  • Created Date

  • PO #

  • Total

  • Created By

  • Status

  • Invoice Status

  • Assigned To

  • Billing Address

  • Contact

  • Cost

  • Delivery Address

  • Delivery Fee

  • Hours Estimated

  • Hours Worked

  • Install Address

  • Invoiced Date

  • Labels

  • Last Modified By

  • Last Modified Date

  • Linked Orders

  • Margin

  • Notes

  • Order Type

  • Pick Up Notes

  • Required Date

  • Total (excluding tax)

  • Accounting Order #

  • [Custom columns] created by an Administrator only.


How to show a Column

By default, these columns displayed:

Order #, Customer Name, Created Date, PO #, Accounting Order #, Total, Created By, Status, and Invoice Status.

To show additional columns:

  1. Click the Column Picker button

  2. Use the search bar or scroll to find the column

  3. Click the show icon next to the column name

  4. Changes save automatically to the current view.


How to hide a Column

Option 1: Using Column Picker

  1. Click the Column Picker button

  2. Find the column to hide

  3. Click the hide icon.

Option 2: Right-Click Method

  1. Right-click the Column header

  2. Select Hide column.


How to rearrange Columns

Option 1: Drag & Drop

  • Drag the column header to a new position within the table.

Option 2: Right-Click (Move to Start/Move to End)

  1. Right-click the Column header.

  2. Select:

    • Move to start – places the column just after the Order # column

    • Move to end – places the column at the far right



Filters

Use Filters to narrow down Quotes and Sales Orders based on specific criteria. Available filters include:

  • Order #

  • Customer Name

  • Created Date

  • PO #

  • Created By

  • Status

  • Invoice Status

  • Assigned To

  • Billing Address

  • Contact

  • Delivery Address

  • Install Address

  • Invoiced Date

  • Labels

  • Last Modified By

  • Last Modified Date

  • Notes

  • Order Type

  • Pickup Notes

  • Required Date

  • [Custom columns] created by an Administrator only.


How to apply filters

  1. Click the Filter icon

  2. Under the Wherefield, select the filter criteria (e.g. Status)

  3. In the is field, choose from the available options (e.g. Delivered, In Progress)

  4. Click Apply to filter the results.

πŸ“Notes:

  • Multiple filters can be combined for advanced filtering (e.g. Delivered orders for a specific Customer) Click + add to include additional filters as needed

  • Once filters are applied, a Resetoption will appear to clear all active filters.


Sort

Sort Quotes or Sales Orders to organise data based on specific fields. Available sorts include:

  • Order #

  • Customer Name

  • Created Date

  • PO #

  • Created By

  • Total ($)

  • Status

  • Invoice Status

  • Billing Address

  • Contact

  • Delivery Address

  • Delivery Fee

  • Install Address

  • Invoiced Date

  • Last Modified By

  • Last Modified Date

  • Margin ($)

  • Notes

  • Order Type

  • Pickup Notes

  • Required Date

  • Total ($) excluding tax

  • [Custom columns] created by an Administrator only.


How to apply sorts

  1. Click the Sort icon

  2. In the Sort by field, select a sort option (e.g. Order #)

  3. Choose Ascendingor Descendingorder

  4. Click Apply to sort the results.

  • Once sorting are applied, a Resetoption will appear to clear all active filters.


Options menu

From the Optionsbutton, the following actions are available:

  • Change Staus

  • Archive

  • Export data to Excel.


Create order button

Select Create order to create/open a new Sales Order, with a unique order number in the Order Details page.


Checkboxes

Select one or more (for bulk updates) Quotes or Sales Orders and use Options features to make changes to Status, Archiving, or Exporting data.


Hyperlinks

Order # and Customer Name fields are clickable hyperlinks for quick navigation:

  • Click to open the Order details tab or the Customer's Order History tab.

  • Right-click to open the link in a new tab for easier multitasking.


Rows per page

Adjust how many records display using the dropdown (bottom left). Save as part of a view for consistency.

Pages

Use Previous or Next to navigate between pages.
