Sales Orders page overview

The Sales Orders page is a complete searchable, filterable and sortable list of all Sales Orders.

Sales Orders page features


Search orders

Search by Customer, Sales Order #, and Created by.

πŸ—’οΈ Note: Search allows a partial search of Customer Name, Assigned to, Created by, Status, Sales Order number and Purchase Order number.


Filters

Use to arrange Sales Order by:

Order Date and Invoice Date

Search for Orders by Order Date and/or Invoice Date.

πŸ—’οΈ Note: you need to apply a From and To date if searching a date range.

πŸ’‘ Tip: if you’re searching for all orders/invoices on 10th July 2024 double click the 10th July 2024 to set From and To dates as the 10th also.

πŸ’‘ Tip for keyboard users: use Tab to navigate between each search feature i.e. type a PO # in the search box, press Tab to move to the Date box, hit Enter to open the box, press Tab, Tab and Enter to navigate to a certain year, continue to until you’re where you need to be.


Status

Filter by Status. The six (6) default statuses (listed below) and any number of customised "other" statuses will appear in the dropdown filter:

  • Archived (a default status)

  • Draft (a default status)

  • Quote (a default status)

  • Submitted (a default status)

  • Delivered (a default status)

  • Picked up (a default status)

  • "Other" statuses created (create "other" Statuses)

πŸ’‘ Tip: Invoice Status and Order Status work together as an "and" functionality i.e. Not Invoiced and Archived Sales Orders will appear in the list.

πŸ—’οΈ Note: Statuses are customisable (setting up and creating Statuses is here), other statuses could be:

  • Planning

  • In Progress

  • In fabrication

  • Cutting

  • Ready for Collection/Pickup

  • Out for Delivery


Change Status

Change the Status of one or more (for bulk updates) Sales Orders.

  1. Select the checkbox align to Sales Order/s.

  2. Select the Change Status icon.

  3. Choose status the Sales Order/s needs to be changed.


Archive and Unarchive

Archive one or more Sales Orders using the checkbox and/or kebab/other options menu.

To archive Orders:

  1. Select the kebab/other options menu (beside a Sales Order)

  2. Select the Archive icon.

To view archived Orders:

  1. Only select Archived from the Statuses dropdown menu.

To unarchive Orders:

  1. Select the kebab/other options menu (beside an Archived Order)

  2. Select Unarchive.

πŸ—’οΈ Notes:

  • A popup appears to undo the archive; if not undone the Order will be moved to Archived

  • Orders cannot be deleted, they are moved to Archived.

  • You could re-use the Order you desire to delete by changing the Customer (Options > Change Customer > edit the Order.


Export

Export one or more (for bulk updates) Sales Orders.

Allows you to export raw data as an Excel/xlsx file.

πŸ—’οΈ Note: exports are limited to 1,000 rows.


Create sales order


Checkbox

Select one or more (for bulk updates) Customers you want to make bulk updates to using Checkboxes to Change Status, Archive or Export.


Sort

Sort columns in ascending or descending order.


View

Set the maximum number of results displayed on a page using the dropdown in the bottom right corner, and if required, use the arrows to navigate between pages.

πŸ—’οΈ Note: maximum number of results that can be displayed per page is 35 results.


Duplicate

Selecting Duplicate from the kebab/other options menu will duplicate the selected Sales Order with a new order number automatically assigned.

πŸ—’οΈ Notes:

When duplicated, an Order will:

  • Return to Draft status (removing Invoiced if the original Order was already Invoiced)

  • Be under the same Customer (this can be changed once the Order has been Submitted as either a Quote or an Order via Options > Change Customer)

  • Have the same Products

  • Not copy the Assigned to team members.


Opening a Sales Order

Click on any Sales Order to view and/or edit it in the Order Details page.

πŸ—’οΈ Note: opening a new or existing Order takes you through to the Order Details page, with Collaborate, Checklists, Tracking, Linked Orders and Timeline features.
