Scheduling Jobs

Put a job on the Planner calendar, set when it runs, mark it complete, and flag it as blocked with a reason.

Overview

Scheduling a job is a drag from the Orders column onto the calendar, into the lane of the person doing it. From there you have two ways to work: right-click the job for its quick actions, or click it to open the side panel, which carries when it runs, mark complete, mark blocked, card colour, unschedule and a link through to the order.

  • Administrators, Power Users, the three Standard roles and Productivity users can schedule work and mark it complete or blocked. Setting a colour on a single job is limited to Administrators and Power Users. Review user roles before granting access.

One card is one person's share of the job

It helps to know what a card on the board actually is.

A card is one assignee's scheduled slice of an order. An order split across three people is three cards. Colour, completion and blocked all apply to the card rather than to the order, so marking one person's slice complete does not mark the whole order done. Track an order's overall progress from the order itself.


Put a job on the calendar

Drag an order from the Orders column onto the calendar, into the lane of the person doing it and the time you want it to run.

The job panel

Click a job on the board and its panel opens down the side. It carries:

  • Order number and job name

  • Order total

  • Labels

  • Assignee

  • Mark as complete or blocked

  • Required date, and the option to change it

  • Card colour

  • Open order

  • Unschedule


Set the start and finish time

A job's duration can be set two ways.

From the menu

  1. Right-click the job.

  2. Select Set start/finish time.

  3. Use the calendar and clock to set the dates and times.

  4. Click Save.

By dragging (Team view only)

Drag the left or right edge of the job to extend or shrink the time slot.


Assign team members

  1. Right-click the job on the orders list.

  2. Select Assign team members.

  3. Select the team members you need from the list.


Add labels

  1. Right-click the job on the orders list.

  2. Select Labels.

  3. Select the labels you need from the list.


Mark a job complete

Open the job panel and click Mark complete.

The card takes a green border and a tick, over the top of whatever colour it carries, so a finished job still shows whose it was and what stage it reached.

📝 Note

  • Completing a job that was flagged as blocked clears the blocked flag. A job cannot be both.


Mark a job blocked

Use this when work cannot start or cannot continue: materials have not landed, the site is not accessible, or you are waiting on information.

  1. Open the job panel.

  2. Click Mark blocked.

  3. Choose the reason: Material, Customer access, Info missing, or Other. A note is required for Other.

  4. Save.

The card takes a red border and keeps it until the block is removed or the job is marked complete. Filter the board to Blocked from the Progress shortcut to see everything that is stuck in one list.

📝 Note

  • Calendar events can be marked complete but cannot be marked blocked.


Take a job off the calendar

Open the job panel and click Unschedule. The order returns to the Orders column, and its status updates to Partially Scheduled or Unscheduled.
