Managing Jobs in Workflow

Move, assign, label, and complete jobs on the Workflow Kanban board.

Overview

The Workflow page is a Kanban board for managing submitted sales orders. Each job moves between status columns as work progresses, with team members, labels, and completion actions managed directly from each card.

  • Only users with permission to access Workflow can view the page. Review user roles before granting access.

Move a job to another status

Drag and drop a job card from one status column to another to update its status.

πŸ“ Notes

  • Moving a job card between status columns updates the order's status everywhere in Factory (Order Details, Tracking tab, Delivery Scheduling, Planner, and the Sales Orders main page).

  • Status columns can also be reordered by drag and drop. The Submitted column always remains in the first position and cannot be moved.


Right-click a parent job card

Right-clicking a parent job card opens a menu with the following options.

Assign team members

  1. Right-click a job card and select Assign team members.

  2. Tick the checkbox next to each team member to assign from the list.


Labels

Assign labels to jobs to make them easier to filter and search:

  1. Right-click a job card and select Labels.

  2. Select the required labels from the list.

  • New labels can be added from the same window by clicking Create new label.


Mark as Delivered, Installed or Picked Up

When goods are delivered, installed, or picked up, the order status should be changed to Delivered, Installed, or Picked Up to remove it from the Workflow view and reflect completion across Factory.

A job can be marked complete from three places.

From Workflow

  1. Right-click the job card.

  2. Select Mark as Delivered, Mark as Installed or Mark as Picked Up.

From Sales Order Details

  1. Go to Sales > Sales Orders.

  2. Open the relevant sales order (use Search if needed).

  3. Change the status to Delivered, Installed or Picked Up

From Delivery Scheduling

  1. Go to Productivity > Delivery Scheduling.

  2. Open the relevant order (use Search if needed).

  3. Right-click the order and select Mark as Delivered, Mark as Installed or Mark as Picked Up.

πŸ“ Notes

  • Orders marked as Delivered, Installed or Picked Up are removed from Workflow and shown as completed on Delivery Scheduling.

  • Status changes apply across Factory automatically: Sales Orders, Workflow, Planner, and Delivery Scheduling all update.


Mark a line item card as complete

Line item cards can be marked as completed independently of the parent job. Once marked complete, the change is reflected on the Tracking tab of the order, and the line item card is removed from the Workflow board.

From Workflow

  • Right-click the line item card and select Mark as Complete.

From the Tracking tab

  • Click the status next to the line item and select Complete.
