Workflow Settings

Configure default behaviour, notifications, and column rules for Workflow.

Overview

Workflow Settings control workspace-wide behaviour for the Workflow Kanban board, including which details appear on cards, the default sort order within columns, and the email/SMS notifications sent when orders move between statuses.

  • Only Admins and Power user can configure these settings. Review user roles before granting access.

Display options

Configure which details are shown on order cards (parent job cards) and item cards (line item cards).

Order Cards

Toggle each detail on or off to control what appears on each parent job card.

  • All

  • Order #

  • Created Date

  • Customer Name

  • PO #

  • Assignee

  • Required Date

  • Order Type

  • Notes

Item cards

Toggle each detail on or off to control what appears on each line item card.

  • All

  • Labels

  • Order #

  • Created Date

  • Customer Name

  • Notes


Order type badges

Display a coloured badge on each card to identify whether an order is for delivery, installation, or pickup.

To set a badge colour, click the current colour swatch and choose a new colour from the picker.


Sorting

Set the default sort order for jobs within each status column. Available options:

  • Created date

  • Required date

  • Order number

  • Customer name

  • Most recent


Notifications

Configure email and SMS notifications for status changes and completion events.

Reply-to email address

Set the email address where customer replies to notification emails are delivered.

Enable SMS notification

Toggle on to allow SMS notifications to be sent from Workflow.

Notify customer when order marked as 'Delivered', 'Installed', or 'Picked Up'

Toggle on to automatically notify the customer when an order is completed.

πŸ“ Notes

  • When notifications are enabled on a status column AND the workspace-wide toggle is on, moving a job into that column triggers an automated email or SMS to the customer. The same applies when an order is marked as Delivered, Installed, or Picked Up.

  • A notification is only sent the first time a job enters a status column with notifications enabled. Moving the job out and back to the same column does not re-trigger the notification.
