Status Column (Workflow)

Create and configure custom status columns to match the shop's production workflow.

Overview

Status columns are the customisable stages on the Workflow page that sales orders move through as work progresses. Each column shows the orders currently in that status, with controls to configure colour, notifications, and summaries.

  • Only users with permission to access Workflow can view the page. Review user roles before granting access.

Status column header

Each status column displays:

  • Status column name

  • Number of jobs under the status

  • โ‹ฎ (more options) menu for column-level actions

๐Ÿ“ Note

  • The Submitted column is the primary column. It cannot be renamed, deleted, or have notifications enabled.


Adding a status column

Add as many status columns as needed to match the stages of the shop's workflow.

  1. Click Add status column.

  2. Enter the column name and click Add.


Rename a status column

  1. Click the column name to edit it.

  2. Click anywhere outside the column name field to save.


โ‹ฎ (more options) menu

Each status column has a โ‹ฎ (more options) menu for configuring colour, notifications, summaries, and deletion.


Status colour

  1. Click the โ‹ฎ (more options) menu next to the status column.

  2. Select Status colour.

  3. Choose from preset colours, enter a HEX code, or drag the cursor to set a custom colour.

  4. Click Save.


Notifications

Enable email or SMS notifications to be sent to the contact assigned to a job when its status moves into this column.

To enable a notification type:

  • Toggle Email on.

  • Toggle SMS on.

  • Additional notification setup is available in Workflow Settings. Settings configured there override the per-column notification configuration.

Delete

  1. Click the โ‹ฎ (more options) menu next to the column.

  2. Select Delete.

  3. Confirm the deletion in the pop-up.

โœ‹ Warning

  • Deleting a column removes all the jobs in that column from their current status. The orders return to the default Submitted column.
