Planner Board: Day/week/month Views, Colour, Filters and Display Options

Day, Week and Month views, the Orders column, colouring the board by assignee or workflow status, filters, and Planner Settings.

Overview

The Planner board shows your team down one side and time across the other, with every scheduled job sitting in the lane of the person doing it. Colour it by assignee and you can see at a glance who is carrying what. Colour it by workflow status and you can see how much of the week is still at cutting and how much is ready to install. Narrow it to blocked work and you have your morning call sorted in one click.

👥 Access permissions

  • Administrators, Power Users, the three Standard roles and Productivity users can open the Planner. Workflow Only, Deliveries Only and Time Tracking Only users cannot. Review user roles before granting access.

Calendar views

Switch between Day, Week and Month to see the same schedule at different levels of detail.

  • Day shows the finest grid, so short jobs and back to back work are readable. Only your configured working hours are shown.

  • Week is the working view for most shops. Each person has a lane, with their scheduled jobs and their calendar events side by side.

  • Month rolls the same work up to a month grid. Days with more work than will fit show a +N more you can expand, and jobs that run across several days draw as a bar. Blocked jobs keep their red border.

A current-time line marks where you are in the day, and today is marked on every view.

📝 Note

  • The current-time line, "today" and the required date filter all run on your company's timezone, not the timezone of the person looking at the board. A team spread across states sees the same day boundaries.

🆕 When a day in Week view has more jobs than fit in the visible space, the extra jobs collapse into a +N more chip for that day — counted per day, not per span. A job that runs across several days is never hidden inside a chip; its row grows taller instead so the whole job stays visible. Click a chip to see the jobs it's hiding, with their real dates.

If a multi-day job is clipped so only one day of it falls inside the current week, that day's chip can still include it — the popover shows its real dates. That's expected, not a bug. (Sept 2026)


The Orders column

The Orders column down the left holds every order ready to be put on the calendar, with a count so you always know how much work is in front of you.

Collapse the column when you want the calendar to have the full width, and expand it again when you are ready to schedule.

You can filter orders by all, scheduled, partial and unscheduled.

  • Scheduled: all assignees and resources are scheduled in the Planner.

  • Unscheduled: no assignees or resources are assigned.

  • Partial: there are multiple team members and resources assigned to the job, but they are not scheduled in the calendar.


Colour on the board

Colour is the fastest way to read the board. Use the Colour by control in the toolbar to choose what colour means.

  • Off/no colour: entries are uncoloured. Use this when you want a plain board.

  • Assignee: every job takes the colour of the person doing it. An order split across three people shows three colours.

  • Workflow status: every job takes the colour of the stage it is at.

Two things worth knowing:

  • One at a time. You can colour by assignee or by workflow status, not both.

  • Your screen only. Your choice does not change the board for anyone else, unless you save it into a view. Two people can look at the same week through different lenses.

📝 Note

  • Colouring by workflow status only works as well as your status colours. A status with no colour set against it, a quote for example, leaves the job uncoloured. Assignee is the more reliable starting point because everyone has a colour.

Where member colours come from

A team member's colour is set on their record in Global Settings > Team. That colour is their colour across Factory, so changing it also changes where they appear on timesheets and purchasing. Administrators can set colours for the team, and anyone can change their own.

Setting a colour on one job

Administrators and Power Users can set a colour on a single job so it stands out. Unlike the Colour by lens, a colour set this way shows to everyone, whatever lens they are using. Use it for the job that has to be watched this week.

Status on a card

Colour tells you whose job it is and where it sits. Borders tell you how it is going.

  • Completed: green border and a tick. The job keeps its own colour underneath, so you can still see who it belongs to.

  • Blocked: red border, with the reason recorded against it.

Because the border sits over the colour, a card can read as "John's job, blocked" at a glance. Marking work complete or blocked is covered in Scheduling Jobs.


Filters

The filter panel narrows the board by:

  • Users: show or hide people.

  • Progress: show all work, or narrow to in progress, blocked or completed.

  • Workflow status: filter job cards by their workflow status.

  • Assignee: filter by the assigned team member. Both Standard and Assignee user types appear in the list.

  • Labels: filter by any label configured in your workspace.

  • Required date: set a date window and both the calendar and the Orders column narrow to jobs with a required date inside it.


🆕 Updates to filters

  1. The Workflow status filter now starts with Draft, Archived, Quote, Picked Up, Installed and Delivered switched off, so the board isn't cluttered with jobs most shops aren't actively working on day to day. Every other status stays on. These six statuses are grouped under an "OFF BY DEFAULT" heading in the filter list — tick any of them to bring that status back onto the board.

    If the filter chip just says "All," that means either the default set is applied (the six off, everything else on) or every status is ticked; open the dropdown to see exactly what's included. (Oct 2026)

  2. the Progress filter's icon in the toolbar changed from a tick-in-a-circle to a dashed circle. The filter itself works the same way — only the icon looks different. (Oct 2026)

📝 Note

  • Empty means empty. If you untick everything in a filter, you get an empty board rather than the whole board back. That is deliberate, so a filter never quietly shows you more than you asked for.

What the board remembers

The Planner's filters and colour lens reset when you reload the page — but "reset" means back to the default filter set (the six statuses above switched off), not to a completely open board. To see everything, including the statuses that are off by default, use Reset to default in the filter panel and then tick every status, including the ones grouped under "OFF BY DEFAULT. Search

Search the board by assignee, order number, customer name and more. Partial matches work, so typing 61 returns any customer or order with 61 in it, including order 610.


Settings

👥 Access permissions

  • Only Administrators and Power Users can open Planner Settings.

📍 Location in the app

  • Productivity > Planner > Settings (gear icon)

Work hours

Set the hours your team works. The Day view then shows only that window, so you are not scrolling past an empty night shift to read the day.

Display options

Toggle each detail on or off to control what appears on each order card:

  • All

  • Order #

  • Start / Finish Time

  • Customer name

  • PO #

  • Notes

  • Assignee

Quick card actions

Right-click a card on the Planner grid or in the Orders sidebar, or open its drawer, for quick options to add an assignee, add a label, or add extra scheduled time, without opening the full order.

  • Removing an assignee from the drawer shows an Undo option right after; use it before doing anything else to put them straight back.

  • Adding a timeslot this way creates a separate, additional block of scheduled time for the same job; it doesn't move the existing one.


🆕 Updates to Planner

An order's PO number also appears directly on its card in the Orders column — under the customer name, above the required date — whenever the order has one. This isn't controlled by the toggle above; it always shows if there's a PO to show. On the calendar itself, PO numbers are now written the same way everywhere: PO-<number>. (Sept 2026)

If your own PO numbers already start with "PO" (for example, you store PO-4471 in the PO field), the card will show it doubled up as PO-PO-4471. That's expected, Factory always adds PO- in front of whatever's stored. If you'd rather avoid the doubling, store just the number

Right-clicking a job now lifts its card with a subtle shadow while the menu is open, so it's clear which job the menu belongs to. The job panel's action bar — Open order, Unschedule and Remove — now stays pinned to the bottom of the panel instead of scrolling out of view, so those actions are always reachable.

  • Click Save to apply any changes made to Planner Settings.
