Previewing, Printing, and Emailing a Quote or Proforma Invoice

Three ways to share a quote or proforma invoice with a customer: preview, print, or email.

Overview

Quotes and proforma invoices can be previewed, printed, or emailed directly from Factory. Three actions are available from the document's Options menu:

  • Preview: Opens a new browser tab with a view-only copy of the document.

  • Print: Opens a printable version in a new tab. Updates the connected accounting package when an accounting integration is enabled.

  • Email: Sends the document by email as a hyperlink and attachment. Updates the connected accounting package when an accounting integration is enabled.

๐Ÿ‘ฅ Access Permissions

  • Only users with permission to access Sales Orders can preview, print, or email quotes and proforma invoices. Review user roles before granting access.

  • Global Search > search and select a quote > Options

  • Sales > Sales Orders > select a quote > Options

  • Sales > Customers > select a customer > search and select a quote > Options

  • The layout of quotes and proforma invoices can be customised via Settings > Document templates.


Preview a quote or proforma invoice

  1. Ensure the quote is not in Draft status.

  2. Go to Options > Quote (or Options > Proforma Invoice).

  3. Edit the quote date if needed.

  4. Select Options > Preview.


Print a quote or proforma invoice

  1. Ensure the quote is not in Draft status.

  2. Go to Options > Quote (or Options > Proforma Invoice).

  3. Edit the quote date if needed.

  4. Select Options > Print.


Email a quote or proforma invoice

  1. Ensure the quote is not in Draft status.

  2. Go to Options > Quote (or Options > Proforma Invoice).

  3. Edit the quote date if needed.

  4. Choose a contact from the list. To add or change a contact:

    • Click add contact to include a new contact.

    • Click edit to modify an existing contact's name, email, or phone number.

  5. Review the attachments. Files auto-attached from the Collaborate tabs of the selected customer and the added products appear in the Attachments list automatically. To add more, click add attachment to upload new files.

  6. Select Options > Email.

๐Ÿ’กTip:

  • Edit the default email message in Settings > Quotes to avoid retyping the same content each time a quote or proforma invoice is sent.

๐Ÿ“Notes

  • The 20 MB limit applies to the message and all attachments combined, not to each attachment individually.

  • Accepted file types: JPEG, PNG, GIF, WebP, HEIC/HEIF, PDF, DWG, DXF.
