Configuring how much detail appears on your invoices

Use invoice display modes to control the level of detail your customers see on invoices, partial invoices and proforma invoices.

Invoice display modes let you control the level of detail your customers see on invoices, partial invoices and proforma invoices. You can show the full line-item breakdown, group everything into labour and materials totals, or roll the whole job into a single line.

Display modes change what your customer sees on the PDF and online invoice only. Your sales order, internal records and accounting sync always keep the full line-item detail.

The three display modes

Full Breakdown (default)
Every labour and material line item appears on the invoice, exactly as it is on your sales order. Use this when you want full transparency with your customer. This is the default, so if you do nothing your invoices will look the same as they always have.

Grouped
The invoice shows one Labour line and one Materials line, with totals only. Individual item names, hours and rates are not shown. You can rename the two labels to suit your business, for example "Services" and "Parts". Use this when you want to keep hourly rates or supplier detail private.

One-Liner
The invoice shows a single line item with a description and the total. The description defaults to the sales order name and can be edited. Use this for customers who only want to see a project total.

Setting a company-wide default

  1. Go to Settings > Invoicing

  2. Choose your preferred display mode

  3. Save

New invoices will use this mode by default. You need Admin or Owner access to change the company default.

Choosing a mode for a single invoice

When you generate an invoice, partial invoice or proforma invoice from a sales order, you can select the display mode for that document. The first invoice on a sales order defaults to your company setting; after that, the sales order remembers the last mode you used and offers it next time. You can change it on every generation.

Changing the display mode after an invoice is generated

The display mode isn't locked — you can regenerate an invoice at any time and choose a different mode, and the new PDF replaces the previous one in Factory. The mode you used last is remembered, so a routine regenerate keeps the same look unless you change it. One thing to keep in mind: if you've already emailed or shared the invoice, the copy your customer has won't update. Re-send them the regenerated invoice so you're both looking at the same document.

Frequently asked questions

Does this change what syncs to my accounting software?
No. Xero, MYOB and QuickBooks always receive the full line-item detail, regardless of the display mode. Display modes only change what your customer sees.

What happens to my existing invoices?
Nothing. Display modes apply to invoices generated from the release date onwards. Existing invoices are unchanged.

Does this apply to quotes?
No. Quote PDFs are unaffected. Display modes apply to invoices, partial invoices and proforma invoices only.

I generated a Grouped partial invoice and one of the lines is missing. Why?
Grouped invoices only show lines that have value on that invoice. If a partial invoice covers labour only, you'll see just the Labour line — we don't show a Materials line at $0.

Where did my line item notes go?

Line item notes are only shown in Full Breakdown mode. In Grouped and One-Liner modes, notes on individual line items aren't displayed to your customer.

Why don't labour line items show on the online invoice view?

Individual labour line items aren't currently displayed on the online invoice view, even in Full Breakdown mode. The labour total is still included in the invoice amount, and the PDF always shows the full detail for your chosen mode. If your customer needs the labour breakdown, direct them to the PDF.

Can different customers have different display modes?
There's no per-customer setting, but you can choose the mode each time you generate an invoice, so you can vary it customer by customer at generation time.

Who can change these settings?
Anyone who can generate invoices can choose the mode for an individual invoice. Changing the company-wide default requires Admin or Owner access.
