Contacts overview

A view of all Contacts within an Customer account. Contacts can be add to Orders, receive notifications to update them on the status of the Order, and be the recipient of Quotes and Invoices.

๐Ÿ—’๏ธ Note: the number of Contacts that can be added is unlimited.

Use search to view, edit and delete Contacts.

Locating this section in app: Sales > Customers > select a Customer > Contacts


Search

Search by Contact Name and email address.

๐Ÿ—’๏ธ Note: Search allows a partial search i.e. for your Contact you could search Je, and Jessica and Jeffrey will appear in the results.


Add contact

To add an individual Contact:

  1. Select Add contact.

  2. Complete:

  • Contact name (a mandatory field)

  • Email address (must be a valid field i.e. it must have a user name, an @, and a domain)

  • Phone

  • Mobile

๐Ÿšซ Warning: Contact name is a mandatory field. If you partially enter details in Email address, Mobile and Phone an invalid popup will appear, you can move on but the Contact will be flagged in red font in the list of Contacts.

๐Ÿ—’๏ธ Note: importing Contacts in bulk is via your Accounting package; Settings > Integrations.


Edit contact

To edit a contact:

  1. Select the + to expand the view.

  2. Make the require changes:

  • Contact name (a mandatory field)

  • Email address (must be a valid field i.e. it must have a user name, an @, and a domain)

  • Phone

  • Mobile

๐Ÿšซ Warning: Contact name is a mandatory field. If you partially enter details in Email address, Mobile and Phone an invalid popup will appear, you can move on but the Contact will be flagged in red font in the list of Contacts.


Delete contact

To delete a contact:

  1. Delete.

๐Ÿ—’๏ธ Notes:

  • It isnโ€™t possible to delete a Contact that is flagged as invalid. The invalid fields will need to be updated/removed prior to a deletion

  • A popup will appear for a short period to undo the deletion, otherwise the Contact will need to re-added if still required

  • When a Contact is deleted their details remain on historical orders. Deleting means that you canโ€™t add that contact to NEW orders unless you recreate the contact.
