Collaborate overview

Collaborate with stakeholders and keep all relevant communications and attachments i.e. drawings, specifications, proof of delivery, related to a specific Sales Order, in one location.

Locating this section in app:

  • Sales > Sales Orders > select a Sales Order > Collaborate or

  • Sales > Customers > select a Customers > select a Sales Order > Collaborate or

  • Global Search to locate an Order > Collaborate


Collaborate page features


Sales Order # and Customer name

Every page has the Sales Order # and Customer name at the top of the page.


Action buttons

Each Sales Order will also have Action buttons; these will differ depending on the stage the Order is at.

πŸ—’οΈ Note: the Close button will close the Order and save changes made, but not push the Quote or Sales Order through to your accounting package.


Search

Utilise Search to find relevant conversations, and attachments.


Create and send messages

  • Add a message the bottom of the page, and:

    • Format text with bold, italic, underline, bullets and/or numbers

    • @ mention collaborators to direct messages to assigned/responsible people

    • Add signature for proof of delivery, approvals etc.

    • Add attachments (common formats such as PDF, images (JPEG, PNG, GIF, TIFF etc), Word, Excel etc)

    • Add emojis to personalise

  • Press Send to share.

πŸ—’οΈ Note: if you add attachments to any Sales Order in Collaborate then the attachments will always be attached to the Order/Job.


Editing messages

Messages can be edited:

  1. Select the kebab/other options menu beside a message.

  2. Select Edit.

  3. Make the edits in Add a message field.

  4. Press Enter.

or deleted:

  1. Select the kebab/other options menu beside a message.

  2. Select Delete.

Messages can be edited, downloaded or deleted by the following users:

Edit

Delete

Download

A user can edit their own messages and attachments, no-one else's

A user can delete their own messages and attachments, no-one else's

All users can download attachments
