Adding and Archiving Customers

Add new customer records, or archive inactive ones to keep the active list clean.

Overview

When a new customer is added in Factory, a corresponding customer record can also be created automatically in the connected accounting package (MYOB, QBO, or Xero). This links both systems and avoids double entry.

  • Only users with access to Customers can add or archive customer records. Review user roles before granting access.

  • If an accounting integration is connected, existing customers can be imported directly into Factory (Settings > Integrations > Import Customers) reducing manual data entry.


Adding customer fields

The following fields are available when adding a customer:

  • Country: The country set on the account (Settings > Company) is selected by default.

  • Customer name: Required. The name the customer is recorded under.

  • Phone: Enter the country code first, then the phone number. The country code defaults to the one set on the account.

  • ABN: The customer's Australian Business Number (if applicable).

  • Address: Street address, suburb / city, postcode, country, and state.

  • Payment Terms: Default payment terms applied to orders for this customer.

  • Accounting & Integration: Tick Create this customer in the connected accounting system to create a matching record in the connected accounting package.

  • If Create customer in accounting package is not ticked and the customer does not yet exist in the accounting package, an error appears when sending an order.


Add a customer

  1. Select Add Customer.

  2. Enter the customer details

  3. If integrated tick Create customer in accounting package to automatically create the customer in the connected accounting package

  4. Click Save to confirm, or Cancel to discard changes.


Archive a customer

A customer can be archived from either the Customers main page or from their Order history page.

From the Customer main page

  1. Click the โ‹ฎ (more options) menu next to the customer's name.

  2. Select Archive.

From the Order history page

  1. Open the customer from the Customers main page.

  2. In the top-right corner, click the โ‹ฎ (more options) menu.

  3. Select Archive.

๐Ÿ“Note

  • Customers cannot be deleted. They can only be archived to remove them from the active view.


View archived customers

  1. Navigate to the Customers main page

  2. Tick the Show archived customers checkbox to display previously archived records.
