Contacts (Suppliers)

Manage every contact linked to a supplier, including salespeople, accounts contacts, and other points of contact.

Overview

The Contacts tab shows every contact linked to a supplier record. Common contact types include salespeople, accounts payable, customer service, and any other person at the supplier who needs to be reached.

๐Ÿ‘ฅ Access permissions

  • Only users with permission to access Suppliers can view or edit a supplier's contacts. Review user roles before granting access.

๐Ÿ“ Location in the app

  • Purchasing > Suppliers > select a supplier > Contacts

  • Global Search > search for a supplier > Contacts


Search contacts

Search by contact name.

๐Ÿ“ Note

  • Partial searches are supported. For example, searching "Je" returns both Jessica and Jeffrey.


Add a contact

  1. Select Add contact.

  2. Complete the following fields:

    • Contact name (required)

    • Email address (must include a username, @, and domain)

    • Phone (using the correct country format)

    • Mobile (using the correct country format)

  3. Click anywhere on the white background outside the form to save the contact automatically.

๐Ÿ“ Note

  • Only Contact name is mandatory. If Email, Phone, or Mobile is partially filled with invalid formatting, an invalid pop-up appears. The contact can still be saved, but is flagged in red in the contacts list until the formatting is corrected.


Edit a contact

  1. Click the + icon next to the contact to expand it.

  2. Update the contact fields.

  3. Click anywhere on the white background outside the form to save automatically.

๐Ÿ“ Note

  • The same validation rules apply as when adding a contact. Invalid fields flag the contact in red until corrected.


Delete a contact

  1. Click the โ‹ฎ (more options) menu next to the contact.

  2. Select Delete.

๐Ÿ“ Note

  • A pop-up appears briefly after deletion with an option to undo. Once dismissed, the contact must be re-added manually if needed.

โœ‹ Warnings:

  • Contacts flagged as invalid cannot be deleted. Any invalid fields must be corrected first.

  • A short pop-up appears after deletion with an Undo option. Once dismissed, the contact cannot be recovered and must be re-added manually if needed.
