Overview

Checklists provide a structured way to manage tasks and ensure consistency across Quotes and Sales Orders. Custom Checklists can be created and reused through templates to support efficient Job/Order management.

๐Ÿ‘ฅ Access Permissions: only available to users with assigned permissions for accessing Sales Orders. Please review user roles prior commencing.

๐Ÿ“Where to find it in the app:

  • Sales > Sales Orders > select a Sales Order > Checklist or

  • Sales > Customers > select a Customer > select a Sales Order > Checklist


Key features


Templates button

Access saved Checklist Templates for quick reuse.


Add New button

Create a new Checklist.


Checklist details

  1. Collapse (-) / Expand (+): toggle view of Checklist items

  2. Checklist name: click to edit the name

  3. Checklist items: task list with radio buttons to mark as completed

  4. Add Item field: add more items to the list

  5. Completed field: displays completion timestamp and initials of the Team member

  6. Kebab icon (โ‹ฎ): options include Save as Template or Delete Checklist

  7. Attachments icon: indicates if an attachment is added to an item.


How to add a Checklist

  1. Select Add New

  2. Enter the Checklist name by clicking the Checklist name field then press Enter

  3. Use the Add Item field to add tasks.

๐Ÿ“Note: the system automatically tracks the number of items and their completion status.


How to mark Checklist items as Completed

  1. Click the radio button next to each Checklist item

  2. A timestamp and Team member initials will display in the Completed field.

๐Ÿ“Note: completion progress appears next to the Checklist name.


Attachments

How to add attachments to Checklist items

  1. Hover over a Checklist item

  2. Click the paperclip icon

  3. Upload the required file.

๐Ÿ“Note: a paperclip icon will appear beside the Checklist item once attached.


How to delete attachments from Checklist items

  1. Select the paperclip icon next to the Checklist item

  2. In the list of attachments, click the x icon next to the file.

โœ‹ Warning: deleted attachments cannot be recovered.


How to delete a Checklist or Checklist item

Delete an entire Checklist:

  1. Click the kebab icon (โ‹ฎ) next to the Checklist

  2. Select Delete

  3. A brief confirmation pop-up will appear indicating the Checklist has been deleted.

Delete a Checklist Item:

  1. Click on the Checklist item

  2. Press Backspace on the keyboard.

โœ‹ Warning: deleted Checklists cannot be recovered.


Checklist Templates

Save commonly used Checklists as Template for easy reuse across Quotes and Sales Orders.

How to save a Checklist as a Template

  1. Click the kebab icon (โ‹ฎ) next to the Checklist

  2. Select Save as Template

  3. A brief pop-up will confirm the Checklist has been saved as a Template.


How to add a Checklist Template

  1. Select Templates

  2. Search or browse the list

  3. Click addto apply the Template to the current Sales Order.


How to delete a Checklist Template

  1. Go to Templates

  2. Click the kebab icon (โ‹ฎ) next to the Template

  3. Select Delete

  4. A brief pop-up will confirm the Template has been deleted

โœ‹ Warning: deleted Checklist Templates cannot be recovered.
