Checklists (Sales Orders)

Track tasks on quotes and sales orders, with reusable templates for recurring jobs.

Overview

Checklists provide a structured way to track tasks on quotes and sales orders. Each checklist can be saved as a template and reused on other orders, making it easy to standardise recurring workflows such as quality checks, customer follow-ups, or production sign-offs.

๐Ÿ‘ฅ Access Permissions

  • Only users with permission to access Sales Orders can use checklists. Review user roles before granting access.

๐Ÿ“ Location in the app

  • Sales > Sales Orders > select a sales order > Checklist

  • Sales > Customers > select a customer > select a sales order > Checklist

Templates button

Access saved checklist templates for quick reuse.


Add New button

Create a new checklist.


Checklist details

The following controls and elements appear on each checklist:

  • Collapse (-) / Expand (+): Toggle the visible items in the checklist.

  • Checklist name: Click to edit the name.

  • Checklist items: The task list, with radio buttons to mark items complete.

  • Add Item field: Add more tasks to the list.

  • Completed field: Shows the completion timestamp and the team member's initials.

  • โ‹ฎ (more options) menu: Save the checklist as a template, or delete it.

  • Attachments icon: Indicates an attachment has been added to a specific item.


Add a checklist

  1. Select Add New.

  2. Enter the checklist name by clicking the checklist name field, then press Enter.

  3. Use the Add Item field to add tasks.

๐Ÿ“Note

  • The system automatically tracks the number of items and their completion status, displayed next to the checklist name.


Mark items as complete

  1. Click the radio button next to each checklist item.

  2. A timestamp and team member initials appear in the Completed field.

  • Completion progress is displayed next to the checklist name as items are checked off.


Attachments

Add an attachment to a checklist item

  1. Hover over a checklist item.

  2. Click the paperclip icon.

  3. Upload the required file.

  • A paperclip icon appears beside the checklist item once an attachment is added.


Delete an attachment from a checklist item

  1. Click the paperclip icon next to the checklist item.

  2. In the list of attachments, click the ร— icon next to the file.

โœ‹ Warning

  • Deleted attachments cannot be recovered.


Delete a checklist or item

Delete an entire checklist

  1. Click the โ‹ฎ (more options) menu next to the checklist.

  2. Select Delete.

  3. A brief confirmation pop-up appears confirming the checklist has been deleted.

Delete a checklist item

  1. Click the checklist item.

  2. Press Backspace on the keyboard.

โœ‹ Warning

  • Deleted checklists cannot be recovered.


Checklist templates

Save commonly used checklists as templates for easy reuse across quotes and sales orders.

Save a checklist as a template

  1. Click the โ‹ฎ (more options) menu next to the checklist.

  2. Select Save as Template.

  3. A brief pop-up confirms the checklist has been saved as a template.


Add a template to a checklist

  1. Select Templates.

  2. Search or browse the list.

  3. Click add to apply the template to the current sales order.


Delete a checklist template

  1. Go to Templates.

  2. Click the โ‹ฎ (more options) menu next to the template.

  3. Select Delete.

  4. A brief pop-up confirms the template has been deleted.

โœ‹ Warning

  • Deleted checklist templates cannot be recovered.
