Create Purchase Orders directly from a Sales Order

Overview

Selecting Purchase Products will create a Purchase Order directly from a Sales Order, with the Products already added or listed.

๐Ÿ‘ฅ Access Permissions: only available to users with assigned permissions for accessing Sales Orders. Please review user roles prior commencing.

๐Ÿ“Where to find it in the app:

  • Global Search > search and select a Sales Order > Options

  • Sales > Sales Orders > select a Sales Order > Options

  • Sales > Customers > select a Customer > search and select a Sales Order > Options


How to Purchase Products from a Sales Order

  1. Ensure the Job/Order is not in Draft status

  2. Go to Options > Purchase Products

  3. Tick the Products to include on the Purchase Order, edit quantities if required, and assign Supplier/s

  4. Select Create purchase(s)

  5. Confirm creation of the Purchase Order(s) in the pop-up prompt

  6. Use the View purchase(s) option to finalise the details and submit the Purchase Order(s), which will initially be in Draft status.

๐Ÿ“Notes:

  • An indication that a Purchase Order has already been created for each product will be displayed when you select Options > Purchase Products, to help avoid creating duplicate Purchase Orders.

  • Group products from same supplier into single purchase order option:

    • Enabled: A single Purchase Order will be created for all Products with the same Supplier

    • Disabled: Each selected Product will be placed into a separate Purchase Order.


How to locate a Purchase Order create via Sales Order

  1. Open the Sales Order the Purchase Order was created from

  2. Select Linked Orders tab

  3. Purchase Orders in Draft status (if not yet submitted) will be listed.
