Sales Orders: Creating and Editing a Quote

Create or edit quotes from the Dashboard, Sales Orders, Global Search, or a customer's record.

Overview

Quotes can be created and edited from multiple entry points across Factory, so the work can be started from wherever it begins (a search result, a customer record, the Dashboard, or the Sales Orders page). The form structure is the same whether starting fresh or modifying an existing quote, so the experience is consistent across both actions.

Creating a new quote uses the Create sales order or Create order button and ends with Submit as Quote. Editing an existing quote uses Edit Quote and ends with Update Quote. A submitted quote can be converted to a sales order in one click once approved.

  • Only users with permission to create or edit quotes and sales orders will see these options. Review user roles before granting access.

To create a quote:

  • Dashboard > Create sales order

  • Global Search > enter customer name > Create order

  • Sales > Sales Orders > Create order

  • Sales > Customers > select a customer > Create order

To edit a quote:

  • Global Search > search and select a quote > Edit Quote

  • Sales > Sales Orders > search and select a quote > Edit Quote

  • Sales > Customers > select a customer > Order history > search and select a quote > Edit Quote


Create a quote

A quote can be started from four entry points. The opening steps differ, but once the new quote form opens, the rest of the process is the same.


From the Dashboard

  1. Open the Dashboard.

  2. Select Create sales order.

  3. Enter the customer name.

  4. Select Create order next to the matching customer in the search results.

  5. Work through the quote sections, then select Submit as Quote.


From Global Search

  1. Click the Global Search icon (the magnifying glass near the Factory logo).

  2. Enter the customer name.

  3. Select Create order next to the matching customer in the search results.

  4. Work through the quote sections, then select Submit as Quote.


From the Sales Orders page

  1. Go to Sales > Sales Orders.

  2. Click Create order.

  3. Search for the customer.

  4. Select Create order next to the matching customer in the search results.

  5. Work through the quote sections, then select Submit as Quote.


From a customer's order history

  1. Go to Sales > Customers.

  2. Select the customer.

  3. Click Create order.

  4. Work through the quote sections, then select Submit as Quote.


Edit a quote

An existing quote can be edited from three entry points. As with creating, the opening steps differ but the rest of the process is the same.


From Global Search

  1. Click the Global Search icon (the magnifying glass near the Factory logo).

  2. Enter the quote number.

  3. Select the quote from the results.

  4. Click Edit Quote.

  5. Update the relevant quote sections, then select Update Quote.


From the Sales Orders page

  1. Go to Sales > Sales Orders.

  2. Search for the quote number.

  3. Select the quote from the results.

  4. Click Edit Quote.

  5. Update the relevant quote sections, then select Update Quote.


From a customer's order history

  1. Go to Sales > Customers.

  2. Select the relevant customer.

  3. Open the Order history tab and search for the quote number.

  4. Select the quote from the results.

  5. Click Edit Quote.

  6. Update the relevant quote sections, then select Update Quote.


Quote sections

A quote is made up of four sections, all available on the same form whether the quote is being created or edited:

  • Quote information: Set the required date, assign team members, and link an accounting quote number if an accounting integration is connected.

  • Contact details: Add the primary contact, billing address, delivery / pickup / install address, any labels, and internal notes.

  • Custom Columns: Fill in any business-specific fields that have been configured for sales orders.

  • Product and pricing details: Add the products, product kits, and drawings included in the quote, along with line item pricing, delivery fee, and any discounts.
