Sales Orders: Custom Columns

Custom Columns are flexible fields that can be added to display additional information relevant to the business.

πŸ‘₯ Access Permissions: Only users with access to Sales Orders can view Sales Orders main page. Please review user roles prior commencing.


Columns Types

Custom Columns can be set as Amount ($), Checkbox, Date and Time Picker, Date Picker, Dropdown, Email, Multi-Select, Number, Phone, Text, or URL. These fields can appear on the Order Details page and in the customer's online (Order Confirmation view).


Amount ($)

Ideal for showing additional costs or discounts.

πŸ“Note: there is an option to have no decimals or to include up to 4 decimal places.


Checkbox

Ideal for simple Yes/No or Completed/Not Completed indicators.


Date and Time Picker

Ideal for scheduling and deadline-related information.

Date Picker

Ideal for specific date information (e.g. delivered date or design reviewed).

Dropdown

Allows the selection of a single option from a predefined list. Ideal for fields with fixed values such as delivery method or order priority.

πŸ“Note: a default option can be selected, and it will automatically apply to newly created Sales Orders.


Email

Ideal for alternate contact or notification address to include.


Multi-Select

Allows selection of multiple options from a predefined list. Ideal for capturing details such as documentation requirements, quality checks and packaging requirements.

Number

Ideal for numeric data that does not require dollar sign.

Phone

Ideal for storing secondary contact number.


Text

Ideal for Project or Job name or any customer-spefic information.


URL

Ideal for adding links to external websites, documents, product pages, or map locations.


Adding custom columns (can be created by Administrators only)

  1. Click the Column Picker icon on the Sales Orders page

  2. Click Add custom column

  3. Enter a Column name

  4. Select the Column type

  5. Set Display Options:

    • Display on each order's page

    • Display on customer's online view

  6. Click Save.

πŸ—’οΈ Notes:

  • New columns appear at the end of the table by default

  • Custom columns added by an Administrator will be visible to all users who have access to the Sales Order main page

  • Values can be edited directly on the main page: click a field, update, then click outside to save


Editing custom Columns

Right-clicking a custom column opens options to:

  • Edit – rename or change visibility settings

  • Delete – permanently remove the column

  • Sort – sort column data

  • Hide – temporarily remove from view

  • Move to start/Move to end – reorder position in the table.

πŸ—’οΈ Note:

  • If a custom Column is hidden, it will still be available through the Column picker icon

  • To change the type of a custom Column, delete the current one and recreate it with the correct type.


Adding custom fields to PDFs

πŸ“Where to find it in the app: Settings > Document templates

To include custom columns in document templates:

  1. Go to Settings > Document templates

  2. Select Create template

  3. Choose a document type (Quote, Invoice, Partial Invoice, Proforma Invoice, Delivery Docket or Work Order)

  4. Open Custom Fields tab (star icon) where all existing custom fields will be listed

  5. Drag and drop custom fields into the template layout

  6. Click Publish.

To apply the updated template:

  1. Click the kebab menu (three dots) next to the template

  2. Select Make default.

πŸ—’οΈ Note: if changes are made to custom columns in the Sales Orders page require removing and re-adding the custom fields in the PDF layout for updates to apply.
