Add, approve/unapprove, edit, duplicate and delete Timesheets

Adding a Timesheet

All Team members, excluding Assignees, can add their own Timesheets.

πŸ—’οΈ Note: review the setup in Time Tracking Settings prior to commencing using Timesheets.

Locating this section in app:

  • Productivity > Timesheets > Add timesheet or

  • Productivity > Timesheets > select a Team Member > Add timesheet or

  • Sales > Sales Order > select an Order > Tracking > Add manual time entry.


Adding a Timesheet via the Timesheet Managers page

To add a Timesheet via the Timesheet Managers page, follow these steps, or take a moment to watch the short video.

  1. Select Productivity > Timesheets > Add timesheet

  2. In the Add timesheet popup choose a Team Member

  3. Enter the Date, Start Time and Finish Time

  4. Optional to add/select an Order # and Line Item worked on

  5. When the details are complete, click Add manual time entry.


To add a Timesheet via the Timesheet Managers page for a specific Team Member, follow these steps, or take a moment to watch the short video.

  1. Productivity > Timesheets > select a Team Member > Add timesheet.

  2. 3. Enter the Date, Start Time and Finish Time

    4. Optional to add/select an Order # and Line Item worked on

    5. When the details are complete, click Add manual time entry.

πŸ’‘ Tip: include an Order # and Line Item on a Timesheet entry to easily search for entries in the future.

πŸ—’οΈ Note: if an Order # is selected (point 5 and 4 above) then this time entry will be visible in the selected Order under Tracking.


Adding a Timesheet via a Sales Order

To add a Timesheet via a Sales Order, follow these steps, or take a moment to watch the short video.

  1. Select Sales > Sales Orders > select any Order > Tracking > Add manual time entry

  2. In the Add timesheet popup choose a Team Member

  3. Enter the Date, Start Time and Finish Time

  4. The Order # field will be populated with the Order # chosen. Note: this Order # can be overwritten and another Order # can be added, and the Line Items applicable to the selected Order will appear

  5. When the details are complete, click Add manual time entry

  6. The Hours worked will appear on the Tracking page

  7. Click on Hours worked to view a list of hours worked on the Order. Entries can be edited from here

Approving/Unapproving a Timesheet

πŸ—’οΈ Notes:

  • Administrators are the only Team members who can Approve and/or Unapprove a Timesheet entry

  • By default, the status after adding a Timesheet, is Awaiting Approval.


Approve a Timesheet

The added Timesheets can be approved in several ways:

πŸ—’οΈ Note: You can approve multiple timesheets by checking the box next to each chosen timesheets


Approve a Timesheet in Timesheet Managers page

Once the Time Worked is validated and no changes are needed, you can approve it via the Timesheet Managers page.

To approve Timesheet in Timesheet Managers page, follow these steps, or take a moment to watch the short video.

  1. Locate the kebab/other options menu beside the name of Team Member Timesheet.

  2. Select Options

  3. Then click Approve to accept all the added Timesheets within the current week.

Useful if you need to change the Time Worked on certain days and approve Timesheet for specific day.

  1. Select a Team Member.

  2. Then click Approve to accept the added Timesheet.

Unapprove a Timesheet

The added Timesheets can be unapproved in several ways:

πŸ—’οΈ Note: You can unapprove multiple timesheets by checking the box next to each chosen timesheets

In case that a Timesheets added by a Team Member are inexact, you are can unapprove it via Timesheet Managers page.

To unapprove Timesheet in Timesheet Managers page, follow these steps, or take a moment to watch the short video.

  1. Tick the checkbox located beside the name of Team Member Timesheet.

  2. Select Options

  3. Then click Unapprove to reject all the added Timesheets within the current week.

Handy if you need to unapprove a Timesheet for specific day.

To unapprove Timesheet in Timesheet Details page, follow these steps, or take a moment to watch the short video.

  1. Select a Team Member.

  2. Then click Unapprove to reject the added Timesheet.

Editing Timesheet

Editing Timesheet details submitted can be performed via:

Sales > Sales Order

To edit Timesheets, follow these steps:

  1. Select an Order > Tracking > Hours worked.

  2. After selecting Hours worked, locate Timesheet needs to be edited.

  3. Select edit.

  4. Change the details accordingly then click Done to save the changes.

πŸ—’οΈ Note: multiple Timesheets will show up as long Team Members linked the same Order when adding Timesheet.

To edit Timesheets, follow these steps:

  1. Select a Team Member.

  2. Locate the + next to the date, click to expand details.

  3. Edit.

  4. Change the details accordingly then click Edit time tracking entry to save the changes.


Duplicating a Timesheet

All user types excluding Assignee may duplicate their own Timesheets. Administrator has the ability to delete any Team Members Timesheets if necessary.

To delete Timesheets, follow these steps:

  1. Productivity > Timesheets > select a Team Member.

  2. Locate the + next to the date, click to expand details.

  3. Then click Duplicate to remove a Timesheet.

  4. Click Duplicate time entry.


Deleting a Timesheet

All user types excluding Assignee may delete their own Timesheets. Administrator has the ability to delete any Team Members Timesheets if necessary.

To delete Timesheets, follow these steps, or take a moment to watch the short video.

  1. Select a Team Member.

  2. Locate the + next to the date, click to expand details.

  3. Then click Delete to remove a Timesheet.

πŸ—’οΈ Notes:

  • You can delete multiple timesheets by checking the box next to each chosen timesheets

  • Deleting Timesheet option is located in Timesheet Details page.
