Overview

Products are the items that are bought or sold. Within each product, you can set a selling price, manage buying prices across different suppliers, and track cost and markup information.

Once a product has been created, additional features become available, including:

πŸ‘₯ Access Permissions

  • Only users with access to Products can add or edit them. Review user roles before commencing.


Product Details

Opening a new product or selecting an existing product opens the Product Details page. This page includes the product name, product settings, and pricing table.


Product name

  • Product image: A visual representation for the product

  • Product name: The name of the product

  • More options (three dots menu): Duplicate or delete the selected product

πŸ“ Note

  • Product images can be changed. Removing an image requires contacting support at support@factory.app or send a message via Messenger within Factory.


Product settings


I buy this item

Enable this option for products that are purchased. When enabled, an additional buying section and pricing tab becomes available. This allows you to manage supplier pricing and assign preferred suppliers for the product.

πŸ“ Note

  • The preferred supplier price is automatically applied when a product is added to a purchase order using the start typing to add a product function.


I sell this item

Enable this option for products that are sold. When enabled, a pricing section appears at the bottom of the page. This section displays all price levels configured on your account, allowing you to set pricing for each product variant.


I track stock for this item

Enable this option for products that require stock tracking. When enabled, the Tracking tab becomes available for managing stock levels.

Stock fields include:

  • On Hand: Current physical stock level. This is manually editable

  • Promised: System generated quantity based on items allocated to orders. This reduces available stock and is adjusted when orders are marked as Delivered, Picked Up, or Installed

  • Available: Calculated as On Hand minus Promised

  • On The Way: Stock allocated to purchase orders. This increases On Hand once purchase orders are marked a Received

  • Quantities added to quotes do not affect stock levels.


I track costs and markups for this item

Enable this option to view and manage cost and markup information for a product. This supports automatic calculation of product pricing.

When enabled, the following columns are added to the selling price table:

  • Cost

  • Markup

  • Price

πŸ“ Notes

  • Changing cost on an order does not update the cost in the pricing table.

  • Cost and markup values are not displayed on invoices.


Product is bought/sold tax-free

Enable this option to mark products or line items as tax free. These items are excluded from tax calculations on orders.

πŸ“ Note

  • To use tax free products correctly, the item code or item number in your accounting system must be configured with the correct tax free account or tax codes.


Product is bought/sold in

Defines how the product is measured and sold:

  • Basic quantities: Standard unit items

  • Lineal metres or lineal feet: Used for length based products

  • Square metres or square feet: Used for area based products

  • Custom formula: Used for products requiring custom calculation logic


Product Category

Select the category or group the product is listed under in the product catalogue.


Available Materials

Select the materials that make up the product. All selected materials will appear in the pricing section across buying, selling, and stock tracking.


Collaborate over a product to keep all relevant information in one location.


Order History

View all sales and purchase orders for a selected product.


Key Feature

Search

Search for orders using the following references:

  • Customer

  • Supplier

  • Sales order number

  • Purchase order number

  • PO number


Filters

  • Order Date: Filter product orders by a selected time period. Options include year, month, week, or day.

  • Oder Type: Filter results to show either sales orders or purchase orders.

  • Statuses: Select one or more order statuses to control which orders are displayed.


Sort

Sort columns in ascending or descending order to organise results based on preference.


View

Control how results are displayed on screen.

  • Use the dropdown in the bottom right corner to set the number of results per page

  • Use the navigation arrows to move between pages

  • A maximum of 35 results can be displayed per page.
